The KaliaOps EDM module centralizes all your business documents. Access an overview with statistics, navigate easily through the folder structure and find your documents in just a few clicks.
Overview
The KaliaOps EDM (Electronic Document Management) module allows you to centralize, organize and manage all your organization's documents. Natively integrated into the ITSM/CMDB platform, it offers complete document management tailored to IT team needs.
Unlike traditional attachments linked to specific entities (assets, contracts, incidents), the EDM module provides a structured approach with folders, metadata, validation workflows and archiving policies.
Accessing the EDM module
To access the EDM module, click on Documents in the main navigation menu. You can also access it from:
- The shortcut in the favorites bar (if configured)
- Direct links from CMDB entities (assets, applications, contracts)
- Global search by typing a document name
Access to the EDM module is controlled by RBAC permissions. Contact your administrator if you don't have access.
Dashboard
The EDM module home page displays a dashboard with key information:
- Total documents: number of stored documents
- Space used: storage consumed against quota
- Recent documents: uploads from the last 7 days
- By entity type: breakdown of linked documents
Charts and visual indicators allow you to track the evolution of your document base.
Getting started
To get started with the EDM module:
- Explore the tree structure: familiarize yourself with existing folder structure
- Upload a document: test adding a file to a folder
- Use search: find a document by its name
- Check metadata: open a document to see its properties
