Configure your KaliaOps instance in a few simple steps

In brief

After your subscription, you receive an email with a one-time login link. Set your password, enable two-factor authentication (mandatory), then configure your tenant settings and create your organizational structure. Your instance is operational in less than 15 minutes.

Receiving Your Access

Immediately after your payment is validated, you receive a welcome email at the address provided during subscription. This email contains:

  • Your tenant URL: your dedicated space (e.g., kaliaops.com/yourcompany)
  • A secure login link: this one-time link allows you to set your password
  • Your administrator email: the address used to log in

The login link expires after 1 hour or upon first use. If you don't use it in time, you can request a new link via the "Forgot Password" page.

Click the login link

In the welcome email, click the "Set My Password" button. You will be redirected to the password creation page of your instance.

Create your password

Choose a secure password of at least 12 characters (we recommend 20 characters or more for optimal security). Use a combination of uppercase letters, lowercase letters, numbers, and special characters, or opt for an easy-to-remember passphrase.

Enable two-factor authentication

2FA activation is mandatory for administrator accounts. Scan the QR code with an authenticator app (Google Authenticator, Authy, Microsoft Authenticator, etc.) then enter the 6-digit code generated.

Once 2FA is activated, you receive 10 backup codes. Keep them safe in a secure location: they will allow you to log in if you lose access to your authenticator app.

Access your dashboard

After validating the 2FA code, you are logged into your KaliaOps instance. The dashboard displays with an overview of your environment. You can now configure your tenant.

Tip: Write down your 2FA backup codes on paper and store them in a secure location. If you lose your phone, these will be the only way to recover access to your account.

Tenant Configuration

Tenant settings define the default values for all users in your instance. Access them via the Administration → General Settings menu.

Available Settings

Timezone
The default timezone for displaying dates and times. Each user can customize their own in their profile.
Default Language
The interface language for new users. Available languages: English, French, German, Spanish, and Italian.
Administrator Email
The email address defined during subscription. It receives system notifications (renewals, quota alerts, etc.).

Organizational Structure

KaliaOps allows you to model your company structure with three main entities:

Organizations

Organizations represent the legal entities or organizational units of your company (subsidiaries, departments, divisions). Each organization has:

  • A name and unique code
  • A type: business unit, department, division, subsidiary, group, or holding
  • A parent organization (optional) to create a hierarchy
  • A manager and main site

Sites

Sites are physical locations: offices, datacenters, warehouses, branches. Each site can have its own timezone and full address details.

Teams

Teams group collaborators by function or project. They are attached to an organization and can have a team leader.

Organizational Structure
Tip: Start by creating your main organization, then add sites. Teams can be created as you onboard your collaborators.

Profile Customization

Each user can customize their experience via their profile (user menu → My Profile). Individual preferences override the tenant's default settings.

Available Preferences

  • Language: choose from the 5 available languages
  • Timezone: customize date display according to your location
  • Theme: light, dark, or automatic (follows system preferences)
  • Notifications: enable or disable email notifications

  • Invite your collaborators: create user accounts and assign them roles appropriate to their responsibilities
  • Configure LDAP/AD authentication: synchronize your users with your corporate directory
