Managing IT Assets

Build and maintain your IT inventory

In brief

KaliaOps CMDB lets you manage your complete IT inventory with 14 predefined asset types. Each asset can include network information (IP, MAC, VLAN), rack positioning for datacenters, and full change history. Integration with ITSM links assets to incidents, problems and changes.

Overview

IT assets are the foundational elements of your CMDB. They represent all physical and virtual equipment in your IT infrastructure.

Why manage assets in KaliaOps?

  • Complete inventory: Centralized view of all IT equipment
  • Dependency tracking: Links with applications, VLANs, contracts
  • ITSM integration: Assets linked to incidents and changes
  • Financial analysis: Asset costs and contracts

Typical asset examples

  • Physical servers and virtual machines
  • Network equipment (switches, routers, firewalls)
  • Storage (NAS, SAN)
  • Workstations and mobile devices
  • Peripherals (printers, scanners)

Creating an asset

1

Access the Assets module

Menu CMDB → Assets.

2

Click "New asset"

Open the creation form.

3

Enter basic information

Fill in:

  • Name: Descriptive name (e.g., "PROD-WEB-01")
  • Type: Asset category (server, network, etc.)
  • Serial number: Manufacturer serial (optional)
  • Status: Current state (active, maintenance, etc.)
4

Add network information (optional)

If network connected:

  • IP Address: IPv4 or IPv6 address
  • MAC Address: Physical network address
  • VLAN: Assigned network VLAN
5

Configure rack positioning (optional)

For datacenter assets:

  • Rack: Target rack
  • Position: Starting unit (U)
  • Height: Size in units
6

Save

The asset is created and visible in the list.

Tip: Use a consistent naming convention (e.g., SITE-TYPE-NUMBER) to make searching easier.

Asset types and statuses

Network information

IP Address

KaliaOps supports IPv4 and IPv6 addresses:

  • Automatic format validation
  • Duplicate detection across assets
  • Assignment history (forensics)

MAC Address

Physical network address:

  • Standard format (XX:XX:XX:XX:XX:XX)
  • Automatic normalization
  • Duplicate detection

VLAN

Link the asset to a VLAN defined in your IPAM:

  • Selection from configured VLANs
  • CMDB health validation (asset without VLAN)
  • Automatic dependency visualization

IP history

KaliaOps maintains complete IP assignment history:

  • Which asset held which IP, when
  • Useful for security audits
  • Incident investigation (forensics)

Rack positioning

For datacenter assets, KaliaOps allows precise rack positioning.

Configuration

  • Rack: Select the target rack (previously created)
  • Position (U): Starting unit number
  • Height (U): Equipment height in units

Visualization

The rack view displays:

  • Asset positions in the rack
  • Available/occupied space
  • Conflicts (overlapping)

Typical assets

Rack positioning is particularly useful for:

  • Physical servers
  • Network equipment
  • Storage systems
  • UPS units

CMDB health

A predefined rule checks that datacenter assets (server, network, storage, ups) have rack positioning assigned.

Browsing and searching

Asset list

The list displays all assets with:

  • Name and type
  • Status with visual indicator
  • IP/MAC address
  • Associated VLAN
  • Rack position

Filters

Filter assets by:

  • Type: Server, Network, Storage, etc.
  • Status: Active, Maintenance, Retired
  • VLAN: Associated network
  • Site: Physical location

Full-text search

Search across:

  • Asset name
  • Serial number
  • IP or MAC address
  • Description

Export

Export the asset list in CSV or PDF format for external reporting.

Editing and deleting

Editing an asset

  1. Open the asset detail page
  2. Click "Edit"
  3. Modify the desired fields
  4. Save

Changes are logged in the history.

Deleting an asset

  1. Open the asset detail page
  2. Click "Delete"
  3. Confirm deletion

Deletion impact

Before deleting, check:

  • Linked incidents or problems
  • Relations with other entities
  • Associated contracts

Soft delete alternative

Instead of deleting, consider:

  • Setting status to "Retired" or "Disposed"
  • Using the replaced_by field to track replacement
Tip: Prefer changing status to "Disposed" over deleting, to keep history and audit trail.

History and traceability

Change history

Each asset maintains a complete history:

  • Creation: Date, time, user
  • Modifications: Each field change logged
  • Deletions: Tracked in audit logs

Displayed information

  • Who made the change
  • When (timestamp)
  • What was modified (before/after)
  • IP address of the action

Accessing history

  1. Open the asset detail page
  2. Click the "History" tab
  3. View the event timeline

ITSM integration

The history also shows:

  • Incidents involving this asset
  • Problems where it was impacted
  • Changes affecting this asset
Key points
  • 14 predefined asset types covering all IT equipment
  • Automatic IP and MAC address validation
  • Rack positioning in units (U) for datacenters
  • Full traceability: who created/modified, when
  • ITSM integration: linked incidents, problems, changes
