Organize your project teams
KaliaOps allows assigning a project manager from tenant users, linking projects to an organization for reporting, and connecting ITSM activities (incidents, changes) to projects for centralized tracking of all actions.
Project manager
The project manager is the user responsible for driving and delivering the project.
Selecting the project manager
When creating or editing a project:
- Access the "Project manager" field
- Select a user from the tenant's active users list
- The selected user becomes the official responsible party
Responsibilities
- Leadership: Coordinating activities and teams
- Reporting: Updating progress and indicators
- Communication: Main point of contact
- Budget: Tracking project expenses
Changing project manager
The project manager can be changed anytime:
- Open the project card
- Click "Edit"
- Select the new project manager
- Save
The change is tracked in project history.
Sponsoring organization
Each project is linked to an organization in your structure.
Why link to an organization?
- Consolidated reporting: Overview of projects by entity
- Budget tracking: Expense aggregation by organization
- Governance: Visibility for organization managers
- Filtering: Easily find projects for an entity
Selecting the organization
When creating the project:
- In the "Organization" field, select the sponsoring entity
- Only organizations from your tenant are available
- Organization can be changed later if needed
Dashboard impact
Once linked, the project appears in:
- Organization dashboard
- Portfolio reports by organization
- Exports filtered by entity
ITSM links
KaliaOps allows linking ITSM activities to your projects for centralized tracking.
Link types
- Incidents: Incidents occurring within the project
- Problems: Problems identified related to the project
- Changes: Changes made for the project
- Service requests: Requests associated with the project
Creating a link
From an incident, problem or change card:
- Access the "Linked entities" section
- Click "Link a project"
- Select the relevant project
- The link is created and visible from both sides
Viewing links
From the project card, the "ITSM Activities" tab shows:
- Number of linked incidents (open/closed)
- Number of changes (successful/failed)
- List of items with direct access
Automatic links
Some links may be created automatically:
- Changes planned for the project
- Incidents impacting project assets
- Project manager selectable from tenant users
- Organization linking for reporting consolidation
- Links with associated incidents, problems and changes
- Full traceability of assignments
